These Brotherhood Adventure Terms & Conditions establish the terms that apply when you inquire about, reserve, pay for, or participate in a trip, trek, tour, peak climbing program, or expedition organized by Brotherhood Adventure.

By confirming a booking or participating in a journey arranged by Brotherhood Adventure, you acknowledge that you have read, understood, and accepted these Terms & Conditions.

Because adventure travel in Nepal involves changing weather, high altitude, remote terrain, transportation limitations and other conditions beyond human control, travelers should carefully read these terms before confirming their journey.

About Brotherhood Adventure.

Brotherhood Adventure provides professionally organized adventure experiences throughout Nepal, including trekking, peak climbing, mountain expeditions, cultural and nature tours, hiking, and customized Himalayan journeys.

Our website currently features destinations and experiences including Everest, Annapurna, Langtang, Manaslu, Upper Mustang and other trekking and expedition regions of Nepal. Our services may include itinerary planning, accommodation arrangements, transportation, trekking guides, climbing staff, permits, logistics and other services specified in an individual trip package.

The exact services provided to a traveler depend on the confirmed itinerary, quotation, package inclusions and booking confirmation.

Booking and Confirmation

A trip is considered confirmed only after Brotherhood Adventure has received the required traveler information and applicable payment or deposit and has confirmed the booking.

Prices and Trip Inclusions

Travelers should carefully review the Included and Excluded sections of their selected itinerary before making payment.

Unless specifically stated as included, travelers should not assume that a service or expense is covered by the package price.

Payments

The applicable deposit, balance payment and payment deadlines will be communicated during the booking process.

Travelers are responsible for making payments according to the agreed schedule. Failure to make a required payment by the specified deadline may result in cancellation of the reservation or loss of reserved services.

Some services, permits, accommodation, transportation and expedition arrangements may require advance payment and may become non-refundable after confirmation. The payment conditions communicated for an individual booking will apply to that booking.

Cancellation and Refund Policy

Cancellation requests must be communicated to Brotherhood Adventure in writing. Cancellation and refund conditions may vary according to:

For specialized Nepal peak climbing and mountain expedition programs, cancellation conditions may differ from ordinary trekking because permits, climbing staff, equipment, transportation, camps and other expedition logistics often need to be arranged well in advance. Travelers should obtain the cancellation and refund conditions applicable to their specific trip before making a booking.

Itinerary Changes

A Himalayan journey cannot always operate exactly according to a fixed schedule. Weather, trail conditions, landslides, avalanches, road closures, flight disruptions, health emergencies, government decisions, natural disasters, political situations and other unforeseen circumstances may require an itinerary to be changed.

Brotherhood Adventure may modify, reroute, postpone, shorten, extend or otherwise adjust an itinerary when reasonably necessary for traveler safety, legal requirements, operational conditions or logistical reasons.

Our guides and field staff may recommend changes to the itinerary when they believe that continuing according to the original plan would create an unnecessary or unacceptable risk. Where practical, Brotherhood Adventure will inform travelers about significant changes as soon as possible.

Trekking Permits, TIMS and Government Requirements

Nepal trekking regulations vary according to the destination and applicable government rules. The Nepal Tourism Board states that trekkers may require TIMS cards, protected-area entry permits and special trekking permits for restricted areas.

The current Nepal Tourism Board TIMS guidance also identifies numerous trekking regions where trekkers must be accompanied by a licensed trekking guide and carry an agency-issued TIMS card, including specified routes in the Everest, Annapurna, Manaslu, Langtang, Mustang, Kanchenjunga and other regions.

Where permits and official documentation are included in the confirmed package, Brotherhood Adventure will coordinate the applicable arrangements based on the information supplied by the traveler. Travelers must provide valid and accurate documents required for permits.

Government regulations, permit requirements, fees and procedures may change. The applicable official rules at the time of travel will take precedence over general website information.

Tourist Visa and Immigration Requirements

International travelers are responsible for obtaining and maintaining the appropriate immigration authorization for Nepal. Nepal’s Department of Immigration currently provides tourist visa-on-arrival facilities at Tribhuvan International Airport and also provides options to obtain visas through Nepali diplomatic missions abroad, subject to applicable eligibility and immigration rules.

The Nepal Tourism Board specifically warns trekkers and mountaineers about altitude sickness and recommends appropriate safety measures at high altitude. No trekking company can eliminate every natural or environmental risk associated with Himalayan travel.

Health and Fitness

Travelers are responsible for determining whether they are physically and medically fit for their selected journey. High-altitude trekking and mountaineering can place significant physical demands on the body. Travelers should obtain appropriate professional medical advice before undertaking physically demanding or high-altitude activities where necessary.

Brotherhood Adventure’s guides or expedition leaders may recommend rest, descent, medical assistance, evacuation or withdrawal from an activity where they reasonably believe continuing could place the traveler or others at significant risk. The decision to prioritize safety may override the original itinerary.

Emergency Rescue and Evacuation

Mountain emergencies can require rapid changes to travel plans. Where a traveler requires emergency assistance, Brotherhood Adventure may coordinate with appropriate local agencies, medical providers, rescue operators, helicopter companies or other relevant services.

Unless specifically included in a confirmed package or otherwise covered by applicable insurance, emergency evacuation, rescue, medical treatment, additional accommodation, transportation and related expenses may be the responsibility of the traveler. Travelers should maintain appropriate insurance for their journey.

Flights, Roads and Transportation

Transportation in Nepal may involve domestic flights, private vehicles, jeeps, buses, helicopters or other forms of transport depending on the itinerary. Mountain flights and road transportation may be affected by:

Delays and cancellations are possible, particularly in remote mountain regions. Accommodation

Accommodation standards differ between cities, trekking regions and remote mountain areas. Depending on the itinerary, travelers may stay in hotels, lodges, guesthouses, teahouses, camps or tents.

Remote trekking areas may offer fewer facilities than international-standard urban hotels. Brotherhood Adventure may change accommodation where reasonably necessary due to availability, weather, operational conditions or safety. Where possible, an alternative accommodation of a comparable standard will be arranged.

Guides, Porters and Support Staff

Brotherhood Adventure may provide professional trekking guides, climbing guides, Sherpa staff, porters, drivers and other support personnel according to the requirements of the selected trip.

Travelers are expected to treat all staff with dignity and respect. Travelers must follow reasonable safety and operational instructions provided by guides and expedition leaders. Tips and gratuities are generally not included unless specifically stated in the confirmed itinerary.

Responsible and Sustainable Tourism

Brotherhood Adventure promotes responsible travel and encourages visitors to respect Nepal’s natural environment, local communities, cultures and heritage. Travelers should:

Traveler Conduct

Travelers must behave responsibly throughout their journey. Brotherhood Adventure may take reasonable action if a traveler:

Seriously endangers themselves or others
Refuses reasonable safety instructions
Harasses guides, staff or other travelers
Damages property
Engages in unlawful conduct
Creates serious disruption
Violates applicable local rules or regulations

Where a traveler is removed from a trip because of serious misconduct, additional costs arising from the situation may be the traveler’s responsibility.

Personal Belongings

Travelers are responsible for their passports, money, electronics, equipment, luggage and other personal belongings. Brotherhood Adventure recommends that travelers keep valuable items secure and maintain copies of important travel documents. Brotherhood Adventure is not responsible for loss, theft or damage to personal property except to the extent that liability cannot legally be excluded.

Third-Party Services

A journey may involve independent third-party providers such as airlines, hotels, transportation companies, restaurants, helicopter operators and other service providers.

Brotherhood Adventure will make reasonable efforts to work with appropriate service providers but cannot control every aspect of their operations. Third-party services remain subject to the terms, schedules and operating conditions of the respective providers.

Peak Climbing and Mountain Expeditions

Nepal peak climbing and mountain expeditions involve additional risks and requirements compared with ordinary trekking. Depending on the mountain, climbers may require:

Brotherhood Adventure may update these Terms & Conditions when necessary to reflect changes in services, government regulations, operational practices, legal requirements or industry standards.
